3. Ask presenters to consider the below when creating their presentations, to ensure visual material is accessible: Suggest slides follow the guidelines in the Imperial College London ‘A guide to accessible PowerPoints’ Describe all images used in the slide presentation and read the relevant text from the screen for people who have difficulty reading or seeing text and visual images. Balance the need to explain visual information with the need to keep the text concise. Leave blank space at the lower part of the slides should the captioning technology platform cover any text. | |

6. Ensure captions are available: Microsoft Teams – For standard meetings and calls, participants can turn on live captioning themselves. For live events, the organiser must ensure live captions are turned on in the meeting options. Zoom – Attendees have the option to turn on captions themselves in both meetings and webinars. | |
7. If appropriate, ask speakers to provide their slides and circulate these to registered attendees. | |
8. Where beneficial for the purpose of the event, record the event to allow audience members to review it. Ensure recordings are uploaded to a platform where captioning is available. |
